Rural Recycling Ltd ("we", "us", "our") is the data controller for personal data we process about visitors to ruralrecycling.org.uk and customers of our services.
1. Who we are
We are a UK-based, family-run waste-management business. Our registered office is at:

2. What data we collect
- Contact form data: name, company, email, phone (optional), postcode (optional), service of interest, and the content of your message.
- Email correspondence: any details you share when you email us at info@ruralrecycling.org.uk.
- Customer account data: contact details, site addresses, waste-stream details, collection schedules and invoicing records.
- Business contacts we may approach: the public Companies House record of limited companies and LLPs (including the names of their directors), and the business contact details those companies publish, for example on their website.
- Waste carriers and sites we may work with: their entries on the Environment Agency's public registers of waste carriers, brokers and dealers and of permitted waste sites (name, address, registration or permit number, tier and expiry date), the public Companies House record, the business contact details they publish, for example on their website, and the quotes and notes from our dealings with them.
- Website statistics: anonymous information about how this website is used, such as the pages viewed and how quickly they load. See section 8.
3. Why we use your data and our lawful basis
- To respond to your enquiries — lawful basis: consent (when you submit the form) and legitimate interests (running our business).
- To provide our services to you under contract — lawful basis: contract.
- To meet our legal and regulatory obligations (e.g. duty-of-care paperwork) — lawful basis: legal obligation.
- To understand how our website is used, so we can improve it — lawful basis: legitimate interests.
- To contact businesses that may need our services — lawful basis: legitimate interests (finding new customers). We only contact limited companies and LLPs this way, we never guess email addresses, our first message says where we found your details, and you can ask us to stop at any time.
- To check that the waste carriers and sites we use are authorised — lawful basis: legal obligation (our duty of care for waste).
- To find waste carriers and sites near our customers and ask them for quotes — lawful basis: legitimate interests (arranging services for our customers). Our first message says where we found your details.
4. How long we keep your data
We keep enquiry data for up to 24 months from your last contact, unless you become a customer in which case we keep account data for the duration of the contract and for as long as required by law (typically six years for accounting and waste-records purposes).
If we contacted your business and you don't become a customer, we keep those details for up to 24 months from our last contact. If you ask us not to contact you again, we keep only what we need to make sure we never do.
If we asked your business for a quote and we don't go on to work with you, we review those details 24 months after our last contact and delete them unless there is a clear reason to keep them. If we do work with you, we keep them while we do and afterwards for as long as the law requires.
5. Who we share data with
- Our hosting provider (Vercel Inc., USA) — to deliver this website and to provide our website statistics (see section 8).
- Our DNS provider (Hostinger International Ltd).
- Email and CRM tooling we use to manage enquiries and customer records.
- The AI and web-search services our internal tools use — for example to research companies, transcribe dictated notes and translate messages (OpenAI and Tavily, USA).
- Regulators, where we are legally required to share waste-management documentation (e.g. consignment notes).
We do not sell personal data to third parties.
6. International transfers
Some of our processors (notably hosting, email and AI tools) may transfer data outside the UK. Where this happens we rely on UK adequacy decisions or appropriate safeguards (e.g. standard contractual clauses).
7. Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to our processing;
- ask us to stop sending you direct marketing at any time — this is an absolute right;
- request data portability; and
- complain to the Information Commission (which replaced the Information Commissioner's Office on 30 September 2026) at ico.org.uk.

8. Website statistics
We use two services from our hosting provider, Vercel, to see how this website is used and to improve it:
- Vercel Web Analytics counts visits. For each page viewed it records the page, the website that referred you, your approximate location (country, region or city), the type of device, its operating system and browser, and the time.
- Vercel Speed Insights measures how quickly pages load. It records the page, your connection type (for example 4G), the type of device, its operating system and browser, your country and the loading measurements.
Web Analytics does not use third-party cookies: it counts visitors with an anonymous code generated from your browser's request, which is discarded after 24 hours. Speed Insights does not identify you or follow you from page to page. We only see totals, not individual visitors.
We use this information only to improve the website. We don't use it for advertising, and we don't share it with anyone other than Vercel, which provides these services to us.
